General

EcoSecurities Group plc ("EcoSecurities") fully understands & respects the privacy of those whose data or information is made available to EcoSecurities and will adhere to the policy as set out hereunder together with any obligations which arise under statutory or regulatory framework of the European Union. As a general rule your information will not be sold, rented or leased to third parties and all exceptions to this general rule are restricted and closely monitored.

What Information

The information primarily gathered by EcoSecurities is that which is voluntarily given by parties in their dealings with the company. This information is typically given when a party requests information, responds to a query and/or registers its details with the company. Information may also be gathered from third parties in respect of those queries, responses & registrations.

Why?

Such information is gathered by the company for a number of reasons. In the main these centre around the activities of the company which necessitate the keeping of full & proper record, the provision of services in a timely & efficient manner and the maintenance of a certain level of service in our operations.

1.4 Information Integrity/Quality

EcoSecurities gathers information on a fair & lawful basis. All information is collected legitimately and must be adequate, relevant & not excessive for its purposes. Further, all information collected must be accurate & up to date and EcoSecurities will take all necessary steps to recitify, erase or further process any inaccuracies. Parties have a right to access on information held by the company in relation to them and access to said information cannot be unreasonable denied. Parties further have a right to have any inaccuracies rectified by EcoSecurities. Every data subject should have the right to obtain from EcoSecurities confirmation as to whether or not data relating to him/her are being processed and communication of the data undergoing processing; and the right to the rectification, erasure or blocking of data the processing of which does not comply with the provisions of European Law in particular, either because of the incomplete or inaccurate nature of the data, and the notification of these changes to third parties to whom the data have been disclosed.

1.5 Security

EcoSecurities shall ensure that any person acting under its authority including the processor himself, who has access to personal data will not process them except on instructions from the controller. In addition, EcoSecurities shall implement appropriate measures to protect personal data against accidental or unlawful destruction or accidental loss, alteration, unauthorised disclosure or access.

1.6 Information Sharing/Third Parties

As a general rule, information held by EcoSecurities will not shared be with third parties. There are however exceptions to this general rule as follows:-

Where the data subject has consented to or requested the disclosure of their information to third party for example in order to purchase a related product.

Where EcoSecurities wishes to disclose information to its subsidiaries, other companies which are members of its group and those companies with whom they are pursuing joint ventures. Information disclosed in this manner will be utilised subject to the same usual restrictions of adequacy, relevancy & limitations of excess. EcoSecurities maintains the same standard of protection in all of its transfers of personal data from a Member State to a third country .However, they may not be made to a third country which does not ensure this level of protection.

Where disclosure to a third party is required by obligation of law such as in response to duly authorized information requests of government authorities, to comply with law, regulation or subpoena , to prevent fraud or protect the rights of EcoSecurities , to protect the personal safety of an individual or where necessary to perform task in the public interest. The above are all subject to the rights of the data subject.

Where the data subject has subscribed to some form of third party permission based list and as result of which has explicitly consented to their details being shared with third parties.

1.7 Compliance

In order to ensure compliance with the above policy and any other legal obligations in this regard, EcoSecurities shall appoint a Data Protection Officer to ensure that all data is managed in a proper manner, all transfers to the third parties are legitimate and to respond to any personal data queries raised by a data subject.
